The Barn at Power Ranch has approximately 5,389 square feet of interior event space and a 9,000-square-foot event lawn for your private event. The versatile space includes a 450 sq. ft. kitchen that houses one oven, a four-shelf warming oven, a sink, a large double-door industrial-size refrigerator, and a freezer. Each rental includes the use of up to 250 chairs, 23 round tables (60”), and up to ten 6-foot rectangle tables. Linens are not provided. PRCA tables and chairs may be used on the outside cement patio on the North side of the building. Tables and chairs may be placed on the event lawn though No PRCA furniture is to be placed on the event lawn at any time. 

The overall capacity of the Barn is 202 people but is restricted to a maximum capacity of 150 people if tables/chairs are being used for the event. Please review all facility rules and regulations prior to booking.

Rental Rate

The Barn requires a refundable security deposit, due at the time of booking and also has an hourly rental fee that is due in full no less than 60 days before the contracted date. Your reservation is subject to cancellation or late fees without notice if not paid in full. This could result in a loss of space and rebooking by another guest.    

When booking your rental times please include any necessary set-up and clean-up time. Rentals can be made anytime between 8:00 a.m. and 10:00 p.m. All deposits are refunded within 7-10 business days of the event ending.

Rates are subject to change at any time. All reservations are subject to the price at booking, regardless of the inquiry date. Any changes to your rental time resulting in a cost will be subject to the current rates at the time of change.

Residents can rent a facility at the resident rate up to two (2) times per year. Residents may rent any additional space after that at the non-resident rate. Residents may book up to 1 year in advance, and nonresidents may book 6 months in advance.

Optional Amenities

Audio Visual

The audio visual package offers HDMI and RCA device ports and Bluetooth capabilities to connect your device. Included in this package is one wireless microphone, two large flat screen TV's and a drop down projection screen. Speakers are located throughout the facility, the north outdoor patio as well as both sides of the event lawn. Any adapters and HDMI cords are to be supplied by the contracted party. This package is available for $200.

Dressing Suite

The dressing suite offers a cozy setting for the guests to relax and dress before the big moment. The suite features a love seat, chair, full-length mirror, and room for your favorite treats. This room is available for our contracted events only for an extra $200. 

Ice Machine

The newly added ice machine holds up to 390 pounds of ice and can produce up to 33 pounds an hour.  This additional feature is available for a flat rate of $100.

Patio Misting Fans

Cool off your summer event with the use of our patio misting fans for only $100. Misters are available April - September. PRCA cannot guarantee exact date of availability due to maintenance schedule. Please call the office to confirm availability for the season.  

Cancellations

Cancellations must be submitted in writing to the PRCA office. All Barn cancellations will incur a cancellation fee that will be deducted from the security deposit. If the event is cancelled with more than 60 days from the event date a $125 cancellation fee will be applied. If the event is cancelled 31 - 60 days from the event date 50% of the security deposit will be forfeited. Any cancellations within 30 days of the event date will forfeit 100% of the deposit.

Insurance Requirements

Each contracted party is required to obtain an event insurance policy in their name for no less than $1,000,000 coverage. The insurance policy must cover the full contracted time/day and is to be provided to the PRCA office not less than 30 days in advance of the event date. Documents may be emailed to prfrontdesk@ccmcnet.com.

NOTE: Certificates of insurance can cost up to $110 for your event. Please be sure to factor this into your overall budget when considering hosting your event at our facility.

The Certificate of Insurance is to name Power Ranch Community Association as additional insured and MUST be noted on the certificate as listed below:

Additionally, all vendors working with the contracted party that will be on property must provide a Certificate of Insurance naming Power Ranch Community Association as additionally insured.  All documents are due to PRCA office no later than 30 days prior to the event date.  Additional host liquor liability is required if your event will be hosting alcohol.

Alcohol Requirements

If serving alcohol, additional Host Liquor Liability Insurance is required along with an insured security guard.  You may contract with an insured bartending service (they hold this insurance), purchase as an add on to your event insurance policy or purchase a policy through your homeowners insurance.

An insured security guard must be contracted for the time that alcohol is served. No alcohol may be sold. If your bartending service or security guard leave prior to the event ending, no further alcohol may be served.  

Availability

Facilities may be reserved online up to one year in advance for residents and 6 Months for Non-Residents.  You must create an account to secure your booking. 

To ensure staffing availability, we do not accept reservations within 10 days of the time of booking.

Please keep in mind the Barn will be closed for holidays and may be subject to closings for Board of Directors meetings throughout the year.

You can schedule a tour by contacting the PRCA office at (480) 988-0960. On-site tours are conducted during business hours on Tuesdays and Thursdays between 10am-12pm. One tour per reservation will be provided.
